Background
The 8 main space principles 1. Activity based work environment: a mix of open en enclosed spaces, supporting different tasks, moods and departmental work styles; 2. Nobody (!) owns a desk with the exception of ‘business specifics’ like the trade floor + call centers. There will be no offices. The aim = 90% flex, 10% fixed or business specific; 3. There are less desks than employees: targeted average sharing ratio = 0.7
4. Reduced individual filing space: a personal locker + shared team storage space; 5. Most employees have a laptop and a mobile phone and the possibility to connect to the Vattenfall network(s) and internet; 6. Everybody will be able to choose the most suitable hours of work and location to improve their performance and work-life balance (with the exception of some business specifics); time- and place independent working: 7. There are centralized print, office supply and waste facilities; 8. There are central pantry facilities on the floors and in the building (community floor) to connect people and departments.
Identifying workstyles
Individual process work requires a space that is comfortable for long hours of more repetitive or supportive work. Individual process workers could perform some or all tasks away from the office with the right support as they are often less dependent on others and their output is clearly defined.
Interaction
Work styles help to determine dominant ways of working in an organisation /team and to make sure the workspace optimally supports that. It also informs the ability to work away from the office , at home or at a third space and how to best accommodate for that. Most standard office functions are a mix of what is described below, but often one characteristic is more prevalent. Transactional work is highly mobile and often done away from the desk or office and at Team work requires space high third party locations. that facilitates interaction, Transactional workers are in communication and meetings a lot of the time and knowledge sharing. Team are able to work easily workers need each other to TEAM WORK TRANSACTIONAL anywhere anytime. ‘New ways perform. Some collaboration of working ‘ are not new to can be done virtually, but them at all. being in close proximity often works best.

high
Concentrated work requires a space that is quiet and/or without disturbances. Although some people are able to concentrate best with some level of background noise. Concentrated workers are often called ‘knowledge workers’ as most of their work requires high level specialist or strategic thinking.

Neighbourhood concept Management team table
Open sightlines Connected home zones •
A neighbourhood has between 50-60 desk on average
•
Variety of work settings, with an average provision of : • 1 6-8p meeting room per neighbourhood • 1:10 enclosed 1 person concentration/call booths • 1: 15 2-4p enclosed meeting rooms • 1 coffee/print point • Central lockers, 1 per employee • Central team storage (not in between desks) • 1 management team table per 2 neighbourhoods
•
All desks need to be ARBO proof, except for the ‘outside view seats in the quiet zone.
•
Storage units on corridor side can be half high to provide some privacy and display space.
IT requirements and Smart Working* Building
Mobility
Connectivity
Good supportive infrastructure
Optimal internal and external mobility
Effective collaboration and communication
• Mobile network coverage must be sufficient in the entire office
• Laptop for everyone, unless • Smartphone for everyone, unless
• Wireless access with sufficient coverage and capacity to fully support flexworking in the entire office • Clear availability overview for meeting rooms via both laptop and smartphone • In all larger rooms (6+) video possibilities
• Joining possibilities for external relations in video meetings • In all meeting rooms spiderlike calling possibilities
• Conference call available for everyone
• Click to enable all available communication methods (click to call/video etc)
• Integrate the communication functionality of mail, video, telephone and chat in one screen
• Video calls available for everyone • Contact details of colleagues should be searchable via mobile phone
• Speed of connection for mail and internet when working at home
• Lightweight laptops
• All information should be digitally available from everywhere at all times
• Screens that are not readable by neighbors (on the train)
• Presence expectations need to be clear (e.g. option: working from home)
• Tag and follow (due to flexworking)
• Working together in same document e.g. with different 'colors' (almost) at the same time
• Opt-in choice for presence • Display with meeting rooms clickable for instant reservation • Display with overview of all meeting rooms and their availability in central space area on every floor • Power plugs and network plugs in coffee corners and restaurant *these are a number of the ‘must have’ requirements for IT, the full list encompasses much more
• Webmail / access to e-mail and server other than through VPN (for access through other computers / your own device - now for homeworking there is only VPN) • Short messages possible • Chat available for everyone everywhere

Evaluatie Smart Working: Programma in het kort
Werknemer feedback (lunch) sessie
Flash mob survey
• •
• •
