Death by Powerpoint Bijna geen congres of vergadering zonder het gebruik van PowerPoint door één of meerdere sprekers. De overheadsheet dient alleen nog als uiterste back-up en de ‘good old’ diaprojector staat onder dikke lagen stof in de magazijnen van menig technische dienst van AV-bedrijven en accommodaties. Vandaag de dag vertrouwen we allemaal op hét presentatiemiddel bij uitstek – Powerpoint – dat dit jaar precies zijn 20e verjaardag viert! Maar hoe komt het dan dat we zo vaak geconfronteerd worden met saaie, kinderachtige, overvloedige, veel te lange, onduidelijke en slecht leesbare presentaties? ‘Death By Powerpoint’ is internationaal inmiddels een ingeburgerd begrip voor sprekers wier powerpointpresentaties zo slecht zijn dat je – vaak letterlijk – in slaap valt. Powerpoint als het nieuwe dodelijk (saaie) wapen? Een goede presentatie maken is een kunst die niet iedereen verstaat. Microsoft heeft het programma zó vol met mogelijkheden gestopt dat we geneigd zijn alles te willen gebruiken en daarmee te laten zien wat we allemaal wel niet weten van en kunnen met Powerpoint. Het zal u echter nooit vergeven worden en de inhoud van uw verhaal zou wel eens geheel weg kunnen vallen en vergeten worden, terwijl het gesprek in de koffiepauze uitsluitend nog over uw powerpoint slides gaat (en dan bedoelen we niet de inhoud ervan). Powerpoint Do’s en Don’ts Een goede powerpointpresentatie bestaat eigenlijk uit drie onderdelen, de voorbereiding, de inhoud en de uitvoering. Voor elk van de onderdelen volgt hieronder een overzicht van valkuilen en tips om deze te vermijden. De Voorbereiding Het lijkt zo makkelijk om even snel een template te selecteren en uw informatie in wat slides te proppen, maar verwacht niet dat uw publiek u zal herinneren, of wat u gezegd heeft als u de zaal weer verlaat. Verkeerd gebruik van presentatie programma’s kan zelfs een averechts effect op uw presentatie hebben. -
Show me – don’t tell me. Bedenk u vooraf dat mensen visueel zijn ingesteld en verkies beelden boven tekst in uw presentatie.

Het kan nuttig zijn om één of enkele beelden te gebruiken als centraal beeld om uw presentatie te visualiseren. Hierdoor herkent het publiek makkelijker uw rode draad als dit beeld regelmatig terugkeert.

Beperk u tot de grote lijnen en laat onnodige details achterwege. Te veel details leiden af van uw verhaal (u kunt er zelf ook verstrikt in raken) en ontkrachten uw boodschap. Als u de details toch belangrijk vindt, pas dan deze tip toe: maak eerst uw uitgebreide presentatie met alle details, sla deze op. Ga vervolgens schrappen tot u echt de hoofdlijn te pakken hebt en sla ook deze versie op. De tweede versie gebruikt u tijdens uw presentatie en de eerste is prima geschikt als hand-out (of om na te sturen aan geïnteresseerden), zo heeft men ook nog wat uitvoeriger informatie die men rustig na kan lezen.

Bouw uw verhaal op vanaf de notitiepagina’s (gebruik nooit de overzichtsmodus – deze beperkt u in de opbouw van uw verhaal). Vanuit hier kunt u uw slide vervolgens opbouwen als samenvatting. Een andere tip is om voor de opbouw helemaal geen powerpoint te gebruiken, maar eerst op een aantal A4-tjes uw verhaal te schrijven (per onderdeel een A4). Deze kunt u dan later in de gewenste volgorde leggen en ‘vertalen’ naar de presentatie.

Schrijf qua inhoud eerst alles op dat u wil gebruiken op de manier zoals u het kent en begrijpt. Daarna gaat u het herzien vanuit het perspectief van uw publiek. Bedenk daarbij goed wat uw publiek uiteindelijk moet begrijpen en onthouden, in welke volgorde, om het een logisch en compleet verhaal te laten zijn. Met het gewenste eindresultaat helder voor ogen is het een stuk makkelijker om uw verhaal in elkaar te zetten.

Ken uw publiek – weet waarom uw toehoorders geïnteresseerd zijn en hoeveel ze al van het onderwerp weten en stem uw presentatie daar op af. Onderschat de intelligentie van uw publiek daarbij niet.

Een groot of klein gezelschap maakt een wereld van verschil. Voor een kleine groep kunt u makkelijker uit de voeten en u kunt ook direct contact maken met de groep en zo ook herkennen of men u kan volgen. Een grote groep heeft meer tijd nodig om uw informatie op te nemen. En daar komt bij dat u minder contact heeft met de aanwezigen, waardoor het moeilijker is om signalen op te pakken. Informeer u dus vooraf over wat u kan verwachten aan personen in de zaal. Speel altijd op safe en beperk u bij grote gezelschappen nog meer in de hoeveelheid informatie die u op het scherm zet.

De Inhoud ‘Een foto zegt meer dan duizend woorden’ gaat zeer zeker op voor powerpoint. Beelden versterken uw verhaal, kunnen hele stukken tekst simpel vervangen, kunnen humor toevoegen en ze kunnen uw verhaal soms aanzienlijk verkorten. Uiteraard kiest u wel voor de juiste, relevante beelden (Tip: beelden die emotie uitstralen werken extra goed). -
Gebruik geen templates maar start met een lege witte pagina. Later kan je altijd nog plaatjes en achtergronden toevoegen voorzover relevant

Als u toe bent aan de keuze van de template, laat dan de in powerpoint standaard aangeboden voorbeelden achterwege (die hebben we allemaal al tientallen keren gezien) en kies voor een eigen ontwerp (van uw bedrijf, organisatie of gekoppeld aan het congreslogo) of ga op zoek naar een originele template. Tip: Typ bij google eens “free powerpoint template” in en zie wat u allemaal gratis kunt downloaden. Let bij de keuze weer goed op het contrast tussen achtergrond en tekst.

Gebruik zo min mogelijk slides (Tip: als uw presentatie af is, halveer hem eens. Herhaal dit nog enkele malen tot u terug bent bij een echt compacte presentatie)

Animatie is leuk, maar werkt storend, afleidend en vertragend in uw presentatie. Laat het dus gewoon achterwege (u hoeft niet te bewijzen wat u van powerpoint afweet). Voor de goede orde, ‘animatie’ is alles met binnenvliegende en bewegende teksten en geluidjes.

Laat het gebruik van ‘clip-art’ achterwege (dat zijn die quasi-grappige tekeningetjes die standaard meekomen met powerpoint). Kies liever voor ‘echte’ beelden.

Leg nadruk op actuele items. Wat wel goed kan werken is om nadruk te vestigen op datgene van uw slide waar u op dat moment over praat. Een goede methode om dat te doen is het naar voren halen van de bewuste regel en op de achtergrond zetten van de overige tekst (Hoe? Kies hiervoor ‘diavoorstelling’ en ‘animatieschemas’ en kies voor de optie ‘weergeven en lichter kleuren’. Bepaal daarbij wel op wel niveau en welke dia’s het van toepassing is)

Gebruik kaders om tekst te benadrukken of leesbaarder te maken

Contrast – zorg voor een zo groot mogelijk contrast tussen achtergrond en tekst (Tip: Geel of witte tekst op een middelblauwe achtergrond en zwart op wit gelden als goede combinaties. Ton-sur-ton mag in de mode een bekend begrip zijn, voor powerpoint werkt het niet).

Gebruik een passend lettertype (font). Kies een rustig, eenvoudig type en houdt u aan dit ene lettertype voor de gehele presentatie (het is beter om te variëren met grootte, vetgedrukt en cursief, dan met verschillende lettertypen). Let op leesbaarheid, uitstraling etc.

Voor de lettergrootte houdt u als uitgangspunt aan dat 18pt toch echt het minimum is, maar het beste werkt lettergrootte 24-36pt. Voor de titels is 36-44pt het duidelijkst. Hoe groter de zaal, hoe meer moeite men achterin zal hebben met lezen. Kies dus liever voor groter dan kleiner.

Wat past er op een slide? Hierover vonden we verschillende adviezen, zoals de o ‘10 seconden regel’ (zet nooit meer op een slide dan het publiek in 10 seconden kan opnemen) o ‘zes-bij-zes regel’ (een slide moet nooit meer dan zes regels tekst bevatten én elke regel mag niet meer dan zes woorden lang zijn). o De ’15 woorden regel’ (advies hierbij is om nooit meer dan 15 woorden op één slide te plaatsen). Al deze suggesties dwingen u om goed na te denken over wat de kern van uw boodschap is (bijkomend voordeel: het voorkomt tegelijkertijd een van die andere elementaire fouten: het ‘oplezen’ van de tekst van de dia).

Beperk u tot één idee, onderwerp of concept per slide

Als u slechts enkele (steek-)woorden op het scherm toont, kunt u uw verhaal er veel losser om heen vertellen. U wordt tenslotte niet in een keurslijf gedwongen door wat de aanwezigen op het scherm zelf ook kunnen lezen. En……als u eens een keer iets vergeet, zal niemand dat u aanrekenen.

Adviseerden we u daarstraks om veel en echte beelden te gebruiken (en clipart achterwege te laten), hieronder enkele goede bronnen voor (gratis) beelden: o Google Image Search ( http://images.google.com ) (tip: selecteer bij voorkeur alleen ‘grote afbeeldingen’ of ‘large’ formaat, zodat de beelden ook op groot scherm nog mooi en scherp zijn) o Flickr (http://www.flickr.com ) o Morguefile ( http://www.morguefile.com ) Via de links onderaan kunt u nog veel meer verwijzingen naar sites met beelden vinden

Tegenwoordig wordt veel gebruik gemaakt van live verbindingen (een aanrader als u weet hoe het werkt en stressbestendig bent, maar absoluut niet geschikt voor mensen die niet goed met de techniek overweg kunnen). o De beste optie is om alles wat u wilt laten zien vooraf te downloaden, zodat u niet ‘live’ hoeft te gaan. o Als u echt online moet, zorg dan dat u de verbindingen goed getest hebt vooraf! Tip: Zorg tevens voor ‘screenshots’ van wat u wil laten zien, deze kunt u dan nog snel in de presentatie toevoegen als het toch niet blijkt te werken (of beter nog, zorg dat ze al in uw presentatie gemonteerd zijn en ‘verberg’ de slides, zodat u ze snel weer er bij kan halen indien nodig). o Screenshots van websites bieden daarnaast nog de extra mogelijkheid dat u de plaatjes kan uitvergroten (tekst op sites is vaak veel kleiner dan u nodig heeft in powerpoint) om deze duidelijker te maken of om een specifiek onderdeel van de webpagina te belichten. o Aan de andere kant, als het essentieel is voor uw presentatie om de werking van iets live te laten zien, zijn screenshots natuurlijk weer second best (maar vraag u serieus af wanneer iets echt ‘live’ moet). Het ergste dat u kan gebeuren is – ten overstaan van uw publiek – online willen gaan terwijl de techniek u in de steek laat. Het is de killer voor uw presentatie én uw concentratie!

Een aanrader is ook om uw presentatie in een of meerdere back-ups beschikbaar te hebben (op usb-stick en op cd – bewaar ze dan ook op twee verschillende plekken). U zal niet de eerste spreker zijn wiens presentatie de mist in gaat omdat uw gestolen is of omdat uw laptop volledig dienst weigert of toch nét niet compatible blijkt te zijn. U kunt dan terugvallen op de back-ups. En voor het geval dat de hele locatie in het donker komt te zitten, neem ook een papieren uitdraai mee, zodat u eventueel ook bij kaarslicht nog uw verhaal kunt houden.

Creëer een heldere outline, ook voor uw publiek. PowerPoint leent zich uitstekend om o uw toehoorders een goed overzicht te geven van wat ze kunnen verwachten (maak een heldere agenda-slide), o waar ze zich in uw verhaal bevinden (gebruik kopregels en bijvoorbeeld slides met tussentitels als u van onderwerp wisselt) o en sluit af met een samenvatting (hier komt u terug op uw in het begin getoonde agenda en koppelt terug op de behandelde onderwerpen). o Een goede tip is ook om aan elk onderwerp een beeld te koppelen dat u bijvoorbeeld groot op de (tussen-)titelslide laat zien en vervolgens als klein icoon op alle slides over dit onderwerp laat meelopen. Hoe beter uw publiek begrijpt waar u bent in het verhaal, hoe meer ze zullen onthouden en begrijpen.

En dan nog een hele simpele: Zet niets op een slide als je je punt ook kunt maken zonder het op het scherm te hebben!

De uitvoering Voor de presentatie Zorg dat u op tijd aanwezig bent (houdt rekening met de altijd aanwezige files in Nederland), zodat u ontspannen kunt voorbereiden. -
Maak u vertrouwd met de ruimte (hoe is alles opgesteld, kan iedereen u en het scherm zien, waar kunt u lopen, hoe werkt het licht en de ventilatie/airconditioning) en de aanwezige apparatuur (installeer uw laptop en/of presentatie, oefen even met de bediening van de aanwezige apparaten en test het geluid indien u dat gebruikt, zowel van uw presentatie als uw microfoon).

Licht uit, spot aan! Een bekende uitspraak, maar hoe vaak bent u niet in congrescentra geweest waar de ‘spot’ uiteindelijk ontbrak en u in het donker uw verhaal moest doen? Als u uzelf in het donker zet is dat een signaal voor het publiek dat de presentatie belangrijker is dan uzelf. En een donkere ruimte is niet bevorderlijk voor de alertheid van uw toehoorders. Laat daar waar mogelijk het licht zoveel mogelijk aan. o Tip: De meeste professionele beamers vandaag de dag hebben een zodanige lichtopbrengst dat u gewoon met de lichten aan (of enigszins gedimd) kunt presenteren. Laat dus uw huis-tuin-en-keuken-beamer thuis, want die is meestal totaal niet geschikt voor presentaties in grotere ruimten (het resulteert in verkeerde zuinigheid). De meeste ‘kleine’ beamers, waarvan u er thuis of op kantoor vast wel een heeft, zijn prima geschikt in kleine ruimten (zaaltjes tot zo’n 25 personen), maar het grotere werk moet u echt aan de professionals overlaten! o Tip: Zorg dat uw email alerts, RSS-feed melder, skype-schermpje etc uitgeschakeld zijn tijdens de presentatie
Tijdens de presentatie De aanwezigen zijn gekomen om uw verhaal te horen, niet om naar een diapresentatie te kijken! -
Bij de start van uw presentatie moet u uw publiek gelijk voor u winnen. Zorg dat u hun aandacht krijgt, deel informatie, betrek ze bij uw verhaal en vaak helpt een incentive om te luisteren ook (er is iets te ‘verdienen’ met hun aandacht). Maak duidelijk dat ze hun tijd niet verdoen door naar u te luisteren.

Het publiek is niet gekomen om naar de achterkant van uw hoofd te kijken! U maakt daarmee uzelf ondergeschikt aan uw slides en het komt niet goed over op het publiek. Tip: zorg dat u een monitor heeft of het beeld van uw laptop kunt zien, terwijl u naar het publiek gericht bent, zodat u niet telkens om hoeft te kijken naar wat er op het scherm staat.

Gebruik tijdens de presentatie een afstandsbediening (geeft u rust, meer bewegingsvrijheid en voorkomt telkens heen-en-weer lopen naar uw laptop). Diverse afstandsbedieningen zijn uitgerust met een laserpointer, zodat u niet als een gek voor het scherm hoeft te gaan springen om iets aan te wijzen

Wees geen onderdeel van het scherm, maar loop door de zaal en kijk als het ware met uw publiek mee
Een paar technische tips -
Gebruik een ‘zwart scherm’ om aandacht op spreker te vestigen in plaats van op beeld (zeker als verhaal op dat moment niet ondersteund wordt door een plaatje – vroeger deden we ook de overhead even uit of dekten hem af). Het werkt heel simpel, door tijdens uw presentatie de Z-toets in te drukken wordt het scherm zwart. Nogmaals indrukken (de spatiebalk werkt ook) en uw beeld is weer terug. (let op: bij Engelstalige systemen moet u de B-toets hebben, voor een ‘Black Screen’).

Voorkom dat u uw presentatie per ongeluk afsluit (of er uit schiet) en zorg dat u aan het eind van uw presentatie nog enkele lege slides heeft (of kopieer uw slotslide enkele keren). Zo kunt u niet per ongeluk te ver doorklikken.

Een ander irritant verschijnsel is de muispointer (het witte pijltje of welk alternatief u er dan ook van gemaakt heeft) die kriskras door het beeld schiet. Soms komt dit doordat u de muis zelf gebruikt om vooruit te klikken, maar soms heeft deze een eigen wil. Het beste is natuurlijk om een speciale aanwijzer te gebruiken (werkt draadloos via usb-poort en bevat vaak ook nog een laserpointer). U kunt de pointer ‘onzichtbaar’ maken door in de presentatiemodus de Ctrl-H toets in te drukken (via Ctrl-A haalt u hem weer terug – in Engelse versies kan het ook Ctrl-L en Ctrl-A zijn). Mocht de muispointer toch tevoorschijn komen tijdens uw presentatie, druk dan vooral niet op de ‘logische’ Esc-toets (u schiet dan uit uw presentatie naar powerpoint terug), maar pak de A-toets om de pointer te verbergen.
Hand-outs Wanneer deel je nu je hand-out uit? Achteraf heeft als nadeel dat men misschien niet alles goed kan volgen, maar aan het begin uitdelen kan de aandacht afgleiden of je wordt ineens geconfronteerd met je eigen ‘extra’ materiaal dat je in de hand out verwerkt hebt. Of wat dacht je van op het verkeerde moment naar de verkeerde plaatjes kijken? Het creëert alleen maar verwarring. Tips van professionals: Deel alleen hand-outs uit aan het begin als je feedback wilt of er noodzaak is om aantekeningen te maken tijdens de presentatie. -
Geef echter wel altijd direct aan het begin aan óf er een hand-out beschikbaar is, zodat niet iedereen driftig begint met schrijven en de aandacht bij de presentatie kan houden!
Tot Slot: Een van de mooiste tips die ik tegengekomen ben is deze: "The best PowerPoint presentation tip is not to use PowerPoint in the first place." Het is vandaag de dag helaas maar weinigen gegeven om een onderhoudend verhaal te brengen zonder ondersteuning van powerpoint, maar het is zeker een mooie uitdaging!
